Glass-Lined Equipment Delivery, Packaging & Handover

A practical coordination checklist for shipment records, receiving observations and a traceable project handoff.

A clear handover connects the equipment that was ordered with the packages received and the records needed by the project team. Use this page to organize responsibilities and evidence. Shipment scope, packing method, transport conditions and acceptance requirements must come from the purchase documents, supplier instructions and approved site process for the actual order.

Four checkpoints for a controlled handoff

1. Before dispatch: align the scope

Confirm who owns packing, transport coordination, site receipt and open-item follow-up. Reconcile equipment tags and shipment/package identifiers against the order documents.

  • Approved equipment and accessory list, including shipment IDs where assigned
  • Packing list and dispatch documentation required by the contract
  • Applicable drawings, data sheets, manuals and manufacturing records, with revision status
  • Planned receiving window, site contact and document delivery route

2. In transit: maintain a record

Keep shipment references and schedule updates together so the receiving team can prepare. Record changes through the project’s established communication and document-control process.

  • Carrier and tracking references, when provided
  • Current estimated arrival and any reported delay or exception
  • Named contact for logistics questions and escalation
  • Links between each package ID and the relevant equipment or accessory

3. At receipt: capture observations

Use the site receiving process and supplier instructions. Compare visible package identifiers with the packing list, and record apparent shortage or damage promptly with time, package ID and photographs where permitted.

  • Note what was observed before handling or unpacking, where practical
  • Keep discrepancy records factual: location, description, quantity and evidence
  • Notify the supplier or carrier through the contract-defined route
  • Do not unpack, move or examine equipment outside approved site controls

4. Handover: make the file usable

Give operations, maintenance and project teams an indexed record set, not just a bundle of files. Identify gaps and unresolved items with an owner and next action.

  • Equipment identity and final package/accessory reconciliation
  • Applicable approved drawings, data sheets, manuals and inspection records
  • Document title, revision, date, status and responsible owner
  • Open items, correspondence references and agreed follow-up owner

Receipt and handover record register

Adapt this register to the contract and site document-control system. Mark items “not applicable” when they are outside the agreed supply scope.

Record group Useful fields to capture Handover check
Shipment / package Package ID, equipment tag, list reference, dispatch / receipt dates Identifiers reconcile or variance is logged
Condition / discrepancy Observation, location, quantity, timestamp, photo reference, notification Evidence is stored and follow-up owner is named
Technical documents Document title, number, revision, status, date, applicable tag Current contract-scope set is indexed
Open items Issue, responsible party, due date if agreed, status, closure evidence Unresolved items remain visible at handoff
